Not every task you want to delegate requires the same level of experience. Organizing a calendar doesn’t demand the same as analyzing a campaign or leading a strategic project. That’s why, at Asistente Virtual OK, the service is organized into six grades, from basic administrative support to expert consulting.

In this guide, we explain how that scale works, what changes from one grade to the next and how to tell which level your needs fall into. If you’d like to start with the profile companies request most and why, we cover it in the most in-demand virtual assistants.

What a service grade is

A service grade defines the type of work your assistant will do and the level of preparation they need to do it. It ensures the profile you receive matches the real complexity of your tasks: not an overqualified profile for routine work, and not one that falls short when the operation calls for analysis.

All six grades are available in Spanish-speaking or bilingual mode, with support in Spanish and English. In other words, language doesn’t depend on the grade: you might need a bilingual administrative profile or a Spanish-only technical profile.

The 6 grades, from least to most specialized

03 · Sales AgentSales, collections and relationship managementActive commercial contact, focused on goals

Administrative Assistant. This is the operational base. It’s a fit when you need to delegate repetitive administrative tasks and keep your day-to-day organized.

Comprehensive Administrative Support. It expands on the previous grade with follow-up on pending items, CRM, quotes, invoicing and basic accounts receivable. It’s a fit when basic administrative order is no longer enough, but you don’t yet need a sales profile.

Sales Agent. It shifts the focus from organizing to driving commercial results. It’s a fit when you need to generate, recover or sustain revenue through active contact with clients. To see how this kind of support works in practice, we explain it in remote sales support and SDR.

Technical Grade. It brings specific knowledge in areas such as accounting, marketing, social media or medical insurance. It’s a fit when the need goes beyond administrative support but doesn’t require advanced analysis.

Technical Grade Plus. It’s the middle point between operational execution and consulting. It’s a fit when you need someone with specialized training who can analyze, propose improvements and implement actions within defined guidelines.

Professional Grade. This is the premium service. It isn’t aimed at operational tasks, but at advisory work, project leadership and complex analysis. It’s a fit when what’s missing is expert judgment to make decisions.

What changes from one grade to the next

As you move up the scale, three things change:

  • The type of task. It moves from following instructions to handling follow-up, then to applying technical knowledge, then to analysis and, finally, to advising and leading.
  • Specialization. The first grades cover functions common to any company. The technical grades and the professional grade require training or experience in a specific area.
  • The role of independent judgment. In the base grades, the assistant works from clear instructions. In the higher grades, they contribute analysis and proposals and, in the case of the Professional Grade, expert decisions.

There’s an important nuance: the scale isn’t a straight line. The Sales Agent isn’t «more» than Comprehensive Administrative Support, just different, because it shifts the operation’s focus to sales. That’s why it’s best to choose a grade by the type of work, not just by level.

How to choose the grade you need

These questions help you pinpoint your needs:

  • Are the tasks repetitive, and can you explain them step by step? An Administrative Assistant is probably enough.
  • Do you need administrative control, CRM and invoicing, but no selling? Look at Comprehensive Administrative Support.
  • Is the goal to sell, collect payments or maintain client relationships? Your grade is the Sales Agent.
  • Do you need knowledge of a specific area, such as accounting or social media? Start with the Technical Grade.
  • Beyond execution, do you need someone to analyze and propose improvements? Consider the Technical Grade Plus.
  • Do you need expert advice or someone to lead a project? The Professional Grade is the right fit.

When it makes sense to move up a grade

Your operation will change, and the grade can change with it. You can adjust your assistant’s duties as long as they stay aligned with the contracted profile. If the change involves a higher technical, bilingual or professional level, or a different workload, the scope of the service is reviewed to validate the adjustment.

Some signs that your needs are outgrowing the current grade:

  • You’re asking your assistant for tasks that require knowledge outside their profile.
  • The tasks are no longer just execution, and you need analysis or proposals.
  • Your team increasingly relies on their judgment to make decisions.

Clear metrics help you spot this in time. We explain how in our guide to measuring a virtual assistant’s productivity.

Moving up a grade isn’t the only option. You can also expand your team and combine profiles from different grades based on your operational, commercial or specialized needs.

The right grade is the one that matches your operation

The six grades exist so every company gets the level of support its operation needs today, and can grow without switching providers. What matters isn’t choosing the highest grade, but the one that matches the type of work you want to delegate.
